Privacy Policy

This policy explains what MacroReply (“MacroReply,” “we,” “us”), a product of Sakamoto Labs LLC, collects, why we collect it, and the choices you have. We collect only what we need to run the service, and we never sell your data.
Two audiences. Most of this policy is for people with a MacroReply account. If you got here by submitting feedback through a MacroReply widget on someone else’s website, read If you submitted feedback through a widget instead — different rules apply to you.
Information we collect
We collect three broad categories of information:
- Account data — your name, email address, and authentication details (including Google sign-in identifiers) used to create and secure your account.
- Message & content data — the inbound messages you route to MacroReply and the replies, drafts, follow-ups, and status our agents generate on your behalf.
- Usage & device data — logs, approximate location derived from IP, browser type, and product interactions used for security, debugging, and improving the service.
How we use your information
We use the information above to:
- Provide the core service — reading incoming messages and generating replies, follow-ups, and resolutions.
- Authenticate you, secure your account, and prevent fraud and abuse.
- Operate, maintain, debug, and improve the product.
- Communicate with you about your account, security, and service changes.
We do not use your message content to train foundation models, and we do not sell your personal information.
AI processing & subprocessors
MacroReply uses third-party large language model providers to generate replies. When an agent processes a message, the relevant content is sent to these providers solely to produce output for you. We work only with providers that contractually commit not to use submitted content to train their models. We also rely on infrastructure subprocessors (for hosting, storage, and email delivery) that process data on our behalf under confidentiality obligations.
Data retention
We retain account and content data for as long as your account is active, and for a limited period afterward as needed to comply with legal obligations, resolve disputes, and enforce our agreements. You can delete a project — and the messages scoped to it — from within the app, and you can request deletion of your account at any time.
How we protect your data
We use encryption in transit, scoped access controls, and reputable cloud infrastructure. Access to production data is limited to personnel who need it to operate the service. No system is perfectly secure, but we work continuously to protect your information.
Sharing your information
We share information only with the subprocessors described above, when required by law or valid legal process, or in connection with a merger or acquisition (in which case we will notify you). We never sell your personal information or share it for third-party advertising.
Your rights & choices
Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. You can exercise these rights from your account settings or by emailing us. We will respond consistent with applicable law.

If you submitted feedback through a widget
Some websites embed a MacroReply feedback widget. If you typed a message into one, this section is for you — the rest of this policy describes our own account holders.
The site operator is in charge, not us. The company whose website you were using decides to collect feedback, decides who on their team reads it, and decides how long to keep it. We store and deliver it on their behalf. For anything about how your feedback is used, they are the right people to ask.
When you send a message through the widget, we receive:
- Your message — the text you wrote and whether you tagged it a bug, an idea, or a question.
- Your name and email, if provided — either what you typed into the form, or, if you were already signed in to that website, what the site passed to us automatically. The widget shows you the email it is about to send.
- The page you were on — the URL of the page where you opened the widget.
- Details the website attaches — the site operator can attach technical context to your message, such as an internal account identifier or plan name. This is set by the website, not by you, and is not shown to you in the widget.
- Standard server logs — including your IP address, kept for security and debugging.
We use this only to deliver your feedback to that site’s team, to notify them, and to send you a confirmation if you gave us an email. We do not sell it, do not use it for advertising, and do not use it to train foundation models.
About the tracking link. If you gave an email, your confirmation includes a link that opens your message and any replies without signing in. It works because the address itself contains a unique code, so anyone with that link can read the conversation — please don’t forward it.
How long it’s kept. Your feedback stays available to the site operator until they delete it or close their MacroReply project. Deleting a project deletes the messages in it.
Your rights. Because the site operator controls this data, start with them — they can delete your feedback directly. You can also email us at privacy@macroreply.com and we will pass your request to them and help them act on it. Tell us which website you sent feedback to so we can find it.
Cookies
We use strictly necessary cookies to keep you signed in and to secure your session. We do not use third-party advertising cookies.
Children
MacroReply is not directed to children under 16, and we do not knowingly collect their personal information.
International users
We operate from the United States. If you access MacroReply from elsewhere, you understand your information may be processed in the U.S. and other countries where we or our subprocessors operate.
Changes to this policy
We may update this policy from time to time. When we make material changes, we will update the date above and, where appropriate, notify you in the product or by email.
